Description: Danish Defence Acquisition and Logistics Organization (hereafter DALO) expects to put out for tender a system for acquiring and implementation of a technical documentation system. The potential tender is expected to contain services such as the designing the solution, implementation, configuration, maintenance, support and further development. This Prior Information Notice does not activate the actual tender. The purpose of this notice is to invite potential bidders to a market dialogue and give the potential bidder a possibility to provide input to DALO's preliminary ideas and thoughts around the future tender. See appendix 2 for DALOs questions. Hereafter it is expected to go through one or more rounds of potentially 1:1-dialogue meetings and/or written consultations. Every communication connected to the prior notice of information and the market dialogue needs to go through the electronic tender system. Information regarding the market dialogue will be made available in the electronic tender system. DALO expects to send out a future tender regarding acquisition and implementation of a technical documentation system. The potential tender is expected to contain services such as the designing the solution, implementation, configuration, maintenance, support and further development. The existing solution is described in appendix 1.

Additional information: The market dialogue is expected to be conducted as follows: by completion of a questionnaire and individual dialogue meetings. The completed questionnaire The completed questionnaire must be submitted to DALO no later than 23. July 2026 at 12:00. The questionnaire must be submitted via the electronic tendering system. See appendix 2 - questionnaire. Dialogue meetings Registration for the dialogue meeting must be made by the electronic tendering system. For Registration please attach to your completed questionnaire a notification confirming your wish to participate, including the following information: 1. Name of the undertaking 2. Contact person (name, position, email address, telephone number) 3. A brief description of the undertaking’s experience in delivering comparable services 4. Completion of the questionnaire The purpose of the subsequent rounds of the market dialogue is for DALO to obtain input from the market on a number of different topics from the questionnaire. DALO reserves the right to conduct the rounds of the 1:1 market dialogue as physical or virtual meetings or as written consultations. The market dialogue is expected to take place during the period from start September to end September 2026. The deadline for registration is 23. July 2026 at 12:00. If the meetings are not held during the expected period, the registered undertakings will be informed by email. DALO expects to conduct further rounds of market dialogue. For reasons of resource efficiency, DALO expects to conduct a limited number of dialogue meetings with a representative selection of interested undertakings from the market. DALO therefore reserves the right to limit the number of dialogue meetings to up to 10 (ten) if there is significant interest in participating in the dialogue meetings. In the selection process of a representative selection, DALO will, among other things, attach importance description of the potential tenderer’s experience in delivering comparable solutions and the relevance of their answers in the questionnaire. Potential tenderers are therefore requested to provide a brief description of their relevant experience in their request to participate. DALO reserves the right to request potential tenderers to submit further relevant information for the purpose of any selection of the undertakings to be invited to participate in the dialogue meetings. The fact that potential tenderers which have requested to participate may not be invited to take part in dialogue meetings will have no bearing on their subsequent possibility of being prequalified to submit tenders in the procurement procedures. Prequalification for the forthcoming procurement procedures will thus be conducted entirely independently of the above process and on the basis of specific selection criteria, as the sole purpose of the dialogue meetings is to obtain increased knowledge of, and insight from, the market within a number of specifically defined areas. Potential tenderers that have not been invited, or that have not requested to participate, are encouraged to submit written input so that DALO may benefit from all relevant knowledge and experience available in the market. Summary reports and other material concerning the market dialogue. Following each round of the market dialogue, a summary report will be made available in the electronic tendering system. The material in the electronic tendering system is expected to be supplemented with further material during the course of the overall market dialogue.
