South Central Ambulance Service NHS Foundation Trust (SCAS) seeks to identify and procure the services of an organisation to provide a quality assured scheduled programme of vehicle make ready services, including provision of deep-cleaning services.
The Trust operates a range of diverse vehicles in the provision of its front-line operation (NHS Ambulance Service Provision), which covers approximately 3,554 square miles, with a residential population of some 4-million within the South Central Area of England, situated within the geographical boundaries of Hampshire, Berkshire, Oxfordshire and Buckinghamshire.
The strong preference will be for a single organisation to provide the services for the whole Trust across South Central England. However, there may be a requirement to divide the contract into lots based on geographical boundaries and specified requirements. It is anticipated that the initial contract term will be for three years, with the option to extend the term annually (each12-months) for a further two years, making the maximum possible contract term five-years.
Utilisation of a Make Ready Service has been shown to enhance Trust operational performance, reduce costs and reduce clinical and corporate risks in connection with infection control.
SCAS promote high standards of cleanliness across all operational vehicles, minimising cross-contamination and maximising patient safety, therefore the scope of the Make Ready service may comprise
(but is not limited to):
— Internal vehicle cleaning to the Trust's infection control standards,
— Exterior vehicle cleaning,
— Deep cleaning of vehicle to the Trust's infection control standards,
— Periodic exterior vehicle valet (cleaning and polishing/waxing),
— Management of resource centre/station operational stores and equipment- including cleanliness/ tidiness of the working environment including areas where vehicles are stored,
— Replenishment of materials through the Trust's computerised requisitioning/e-procurement system,
— Re-stocking of Trust-provided consumables,
— Pre-packing of consumables ready packs,
— Equipment cleaning and Checks,
— Asset Control and tracking,
— Equipment Servicing (notification of impending need for servicing only – maintenance will be carried out by Trust-nominated maintainers),
— Management of medicines (medical drugs) and medicine bags to defined SCAS standards,
— Packing and re-packing of Medicines Bags to defined SCAS standards,
— Distribution and re-stocking of Medicines Bags to defined SCAS standards,
— Vehicle Daily Inspections,
— Roadworthiness Checks,
— Minor Running Repairs,
— Completion and return of Mileage Records,
— Vehicle Movements between sites to facilitate Make Ready,
— Vehicle Movements to implement flexible fleet management (FFM),
— Scanning of Patient Clinical Records/Patient Safe-Guarding forms and sending by electronic means to relevant SCAS functions on a daily basis.
